As the EPMO Administrative Assistant (AA5) you will be provide high-level administrative and management support to the Director of the Enterprise Project Management Division (EPMD) and all division program areas. Your primary duties will be to coordinate the tracking of the division's budget, business operations, daily operations, major expenditures and coordinate asset management for the program. As a key member to the EPM you will be supporting the agency's mission by providing key administrative support by assisting in planning, organizing, and directing the operations/management activities. The Assistant to the Director will be responsible for performing higher level duties of a substantive nature and will speak on behalf of the Director in operational and administrative matters when necessary. This NEW team will have major impact over the business processes in the agency. As the Assistant to the Director you will help build this division and be a founding member. As the principal assistant to the Director and a member of the division's leadership team, reviews assignment priorities and delegates projects and assignments to program supervisors/managers or appropriate staff in the division. Manages daily calendar, organizes and schedules meetings for the Director. This position makes travel arrangements for the Director, managers and staff as needed. This includes authorizations, hotel and/or car reservations, air travel for in and out-of-state travel and reimbursement requirements according to the State approved per diem schedules and ESD policies. Exercises delegated authority as security designee and system approver for the division. Manage the Electronic Security Process (ESP) for all of the division, providing employee data for ESD network access, email and Internet access and online accounting and insurance administration access. Processes all requests for iPhones and Virtual Private Network (VPN) access. Maintains inventory. Processes deactivations and disposal. Coordinate and consult with division managers on human resources and payroll transactions. Ensure processes are followed in accordance with agency and state policies and procedures. Prepare and submit required actions through Liquid Office. Qualifications: Required Qualifications A Bachelor's degree in business administration, public administration or closely allied field AND three years of administrative or supervisory experience. OR A combination of education and/or relevant experience. Graduate study may substitute for up to two years of experience on a year-for- year basis.
