The Opportunity

As the Project Management Office (PMO) Administrative Assistant on the One Washington team at the Office of Financial Management (OFM), you will have the opportunity to make a meaningful and transformative contribution to the state. The One Washington program is preparing to modernize and integrate the state's core enterprise finance, procurement, budget, human resources and payroll functions employees and systems in all state government entities.

Reporting to the One Washington Project Management Office Manager, you will be responsible for performing a wide range of administrative and office support tasks. These will include scheduling meetings for multiple, complex calendars, ensuring all logistics are covered; performing critical tasks to assist with on- and off-boarding employees; reviewing, proofreading and formatting documents; assisting with the processing of vendor partner deliverable documents; and performing miscellaneous administrative tasks to support One Washington program staff, all while accomplishing high-priority work within required timelines.

What will you be doing?

* Manage internal and external calendar appointments and scheduling for the PMO Manager and Chief Technology Officer, adjusting schedules based on priorities. * Assist with logistics and scheduling of stakeholder meetings, workshops and events, including but not limited to securing locations, inviting attendees, identifying and securing technology and facility logistics, and day-of set-up and technical support. * Prepare and distribute meeting materials and agendas. * Ensure high-priority PMO work is accomplished within required timelines; use time effectively and prevent irrelevant and lower priority issues from interfering with work completion. * Assist in creating presentations and PMO artifacts utilizing Word, Excel, PowerPoint, Adobe Acrobat, as well as OFM's internal network applications. * Monitor virtual and in-person meetings and take meeting notes as requested. * Serve as back-up to the program's Administrative Assistant. * Drive others to explore alternative ways to view and solve problems and achieve results; provide tools and opportunities for brainstorming to encourage idea generation; and leverage diverse cross-functional sources for inspiration.

What we're looking for

Success in this position requires a team player who appreciates a fast-moving environment, defined as having bringing humility to their job and personal interactions, and understanding how their words and actions affect others.Required

* Option 1: Bachelor's degree in business administration, public administration or closely allied field AND two years of responsible office experience at the senior clerical level or higher. *Clerical or office work experience may be substituted for education on a year-for-year basis.


* Option 2: Five years of responsible office experience at the senior clerical level or higher.


* Intermediate proficiency with Microsoft Office products, including Outlook, Word, PowerPoint, Excel, Visio and SharePoint.


* Demonstrated experience creating and maintaining records inventories, and implementing retention schedules in a state government agency.
